How do I set up my business voicemail?

A professional voicemail makes sure your customers still get a warm welcome, even when you're not available. The good news? With Rinkel, you can set up your voicemail in minutes in the Rinkel app or through the My Rinkel portal on your computer. No faff.

Setting up voicemail in the Rinkel app:

  1. Open the Rinkel app and tap your profile in the top right.
  2. Go to 'Number settings' under 'Manage' and choose the number you want to set the voicemail for.
  3. Select 'Call forwarding'.
  4. Right at the bottom, you'll find the voicemail option under 'Unanswered'.
  5. Choose a recording for callers to hear before they reach your voicemail. You can also create a new recording here.
  6. Save your changes.

Setting up voicemail in My Rinkel on your computer:

To set up your voicemail in the My Rinkel portal, head to My.rinkel.com and follow the same steps as in the Rinkel app.

In the portal you can record greetings, but you can also upload or order them. You can do this straight from your number settings as described above, or head to audio files under general settings via the menu. Choose 'Professional audio' or 'New recording' in the top right. If you'd like a professional recording, you can listen to the available voices in the portal and order one.

5 tips for a great voicemail greeting

A well-recorded voicemail sounds professional and clear. Here are a few tips to make sure yours still leaves a good impression when you can't get to the phone:

  • Use a professional voice-over: Want a properly polished feel? Have a professional voice artist record your voicemail for you. It makes for a clear, professional message.
  • Speak slowly and clearly – If you're recording it yourself, avoid background noise and make sure your message is easy to follow.
  • Keep it short and sweet – Callers want to know quickly why you can't pick up and what to do next.
  • Give clear instructions – Let people know whether they can leave a message or reach you at another time.
  • Use a friendly, professional tone – It makes for a positive experience for the caller.

Fancy a ready-to-use voicemail script? Take a look at the example below!

What does a good voicemail script look like?

A good voicemail is short, clear and professional. Here's an example you can use right away:

"Hello, you've reached [your name] at [company name]. I can't take your call right now. Please try again later—we're available on weekdays between 9am and 5pm. Or leave a message after the tone and I'll get back to you as soon as I can."

Want to make your voicemail more personal or match it to your business hours? Just tweak the script so your customers always know where they stand.

With a well-set-up voicemail, you stay reachable and professional, even when you can't pick up. Whether you go for a personal message or a professional voice-over, a clear voicemail leaves a good impression with your customers. Set up yours today in the Rinkel app on your mobile or the My Rinkel portal, and never miss an important opportunity again!
