How do I export and import contacts from my own file?

What are the requirements for importing from a proprietary file?

In almost all cases, you can export your contacts from your CRM system. You can read how to do this in the FAQ of your CRM system.

Make sure you export this as a CSV, so that you can adjust the columns yourself. This prevents your contacts from not being imported correctly into the Rinkel Webphone.

Your file must contain the following columns:

  • First name

  • Middle name

  • Last name

  • Company

  • Phone

Please note: Do you want to import an international number? Then make sure you put the correct country code (such as +32 for Belgium) in front of it and mark the relevant cell as "Text" instead of "General".


How do I import the file into the Webphone?

  1. Make sure you have modified the downloaded .csv file so that it meets the requirements

  2. Go to the Rinkel Webphone

  3. Click on the square icon on the top left, next to the cogwheel

  4. Click on "Upload file"

  5. Select or drag the .csv file into the white space

  6. Click on the green "Import file" button

  7. If the import is successful, you will see a black bar at the bottom with “Import of contacts is complete”


Privacy of contact details in My Rinkel

You are responsible for safeguarding your data in My Rinkel. It is important to be aware of this because with the Rinkel Webphone, you will import several contacts into the web environment (by synchronising contacts via your mobile phone or cloud for example).

For example, we always recommend that you (and your colleagues) switch on a screen saver when you leave the workplace and always protect your computer with a password.
